DEVELOPMENT ASSISTANT

POSITION OVERVIEW

 The Development Assistant provides a high level of administrative support for the ICA’s robust Development program. This position provides general administrative support including the composition of correspondence; maintenance of donor records and files; organization of department schedules, calendar, travel and meeting arrangements; coordination of all department mailings; and management of other special projects as necessary. The Development Assistant also provides support for planning and execution of internal special events (Development benefit and cultivation events). Tracking gifts and maintaining donor, prospect, and member information in Raiser’s Edge is also a key responsibility.


Essential Responsibilities / Principle Activities
  • Track patron data using Raiser’s Edge, including tracking event invitation lists and RSVPs, maintaining records for patron actions and contacts, and updating profile notes, contact information and relationships in donor records
  • Assist in all aspects of coordinating internal Development member and benefit events and functions for cultivation (including patron travel) and stewardship functions with members, prospects and donors to the ICA
  • Responsible for overseeing processing of internal Development member and benefit event RSVPs
  • Attend functions after hours and on weekends as appropriate
  • Field incoming phone calls and inquiries, serving as a liaison between the Development office and other ICA staff, as well as with the general public as necessary
  • Coordinate and assist with the composition of donor mailings; perform mail merges and assist with solicitation and other department mailings
  • Assist in problem solving analysis and administrative planning for the department
  • Assist in developing appropriate administrative procedures and creating plans to accomplish workload
  • Maintain operation systems used in the Development office, including shared electronic and hard copy filing systems, office and program print materials and supplies, and general department maintenance and organization
  • Order all subscriptions and memberships for professional staff
  • Other duties as necessary

Requirements
  • BS/BA or equivalent
  • Strong writing and proofreading skills
  • Superior organizational skills and ability to manage multiple tasks in a fast-paced environment
  • Strong computer skills required: proficiency with Microsoft Office (Word, Excel, PowerPoint) and web research required and experience using Raiser's Edge preferred
  • Strong attention to detail and an ability to handle confidential materials with discretion
  • Strong customer service skills, sense of humor and overall flexibility important
  • Willingness to work evenings and weekends when needed
