Position Title: Membership Coordinator
The Membership Coordinator serves as the primary gift processing and customer service representative for the ICA’s membership program. Ideal candidate will be required to work some nights and weekends.
Serve as the primary membership contact in providing superior customer service to ICA Members by prioritizing response time to telephone, mail and internet inquiries concerning the ICA’s membership program
Work with Admission and Box Office staff to resolve routine member concerns on-site
Problem solve membership concerns and complaints, research and respond to members via mail, phone calls or email correspondence bringing to speedy resolution
Log and communicate membership concerns and suggestions; recommend and implement improvements for member experience at the ICA.
Assist in implementation and work at all ICA member events including logistics, preparation, Check-in and closing out events.
Enter, post and process general membership gifts in Raiser’s Edge
Record all incoming membership gifts, maintain files of daily postings and provide accurate deposits to Staff Accountant.
Maintain member database records adding new constituents, process address changes and biographical changes in Raiser’s Edge
Collaborate with Marketing Assistant on content for Direct Mail and Member e-News.
Prepare mailing and email lists for regular Direct Mail and membership sale initiatives.
Assist Membership manager with University Membership renewals; organize University Membership collateral, emails and events.
Oversee ICA Member Neighborhood Discount program including building membership, working with marketing to promote and maintain relationships with current vendors.
Maintain inventory of all membership collateral, distribute brochures, fulfillment materials, and replacement membership cards as requested
Code incoming invoices and review monthly spending reports
Assist front desk attendants with admissions coverage as requested and serve as lead Membership representative for admissions during First Fridays.
Among other duties as assigned.
Ideal candidate should have solid administrative experience or 3 years of museum experience
Position requires excellent customer service, interpersonal and communication skills both oral and written with emphasis on editing, data entry experience and attention to detail.
Candidates should be highly organized, possess the ability to manage multiple projects and deadlines.
Possess experience working with and maintaining confidential data.
Must be proficient with MS Office Suite, Excel and Word, Windows, internet, and email literacy
Knowledge of Raiser’s Edge and Patron Edge a definite plus
