Position Title: Marketing Coordinator

Overview: The Marketing Coordinator supports the Institute of Contemporary Art’s Marketing and Communications team in planning, executing, and evaluating integrated marketing campaigns that promote exhibitions, public programs, membership, special events, retail, and other institutional initiatives. This role develops and coordinates engaging content for multiple platforms—including the website, email marketing, social media, and paid advertising—to strengthen audience engagement, grow visibility, and expand the museum’s reach.
Working collaboratively across departments and with external partners, the Marketing Coordinator helps ensure campaigns are creative, strategic, accessible, and aligned with the ICA’s brand, editorial standards, and institutional voice. With a strong understanding of visual culture, digital storytelling, and emerging marketing trends, this role contributes fresh ideas and data-informed strategies that enhance awareness of the ICA and deepen connections with diverse audiences. The position also provides project coordination and administrative support for the Marketing and Communications department while helping to advance the museum’s overall marketing and communications goals.

WORKING AT THE ICA:
- All ICA employees are required to reside in Massachusetts and within commuting distance from our Seaport location as of the first day of work.
- The ICA offers the flexibility of a hybrid work week, which averages three days a week onsite for employees who are eligible to work remotely (subject to change, and at managers discretion).
- This position is included in a bargaining unit represented by UAW Local 2110.
Responsibilities:
- Support the planning and execution of integrated marketing campaigns for exhibitions, public programs, membership, the ICA Store, special events, and other institutional initiatives across social media, eNews, the website, and other digital platforms.
- Draft, edit, and publish engaging, audience-focused content for the ICA website, eNews, social media, and other digital channels, ensuring consistency with the ICA’s brand, editorial standards, and institutional voice.
- Coordinate the production and distribution of ICA eNews, including building and formatting communications, maintaining the editorial calendar, gathering content, managing stakeholder approvals, supporting audience list management in Tessitura and Wordfly, and monitoring performance.
- Update and maintain content on icaboston.org, ensuring information is accurate, timely, accessible, and aligned with institutional priorities while helping drive web traffic through integrated digital marketing efforts.
- Help manage day-to-day activity across ICA social media platforms by publishing content, monitoring audience engagement, responding to inquiries, and fostering a positive and engaging online community.
- Contribute to content strategy and campaign development by generating creative ideas, identifying digital trends, and producing compelling written, visual, and video content that strengthens audience engagement and supports institutional goals.
- Capture, edit, and publish digital content—including photography, graphics, and short-form video—for use across social media, the website, eNews, Bloomberg Connects, YouTube, and other digital platforms.
- Collaborate with Marketing and Communications colleagues to coordinate photography and video production, including scheduling shoots, managing vendors and logistics, organizing digital assets, and facilitating image rights and permissions.
- Develop, schedule, and manage paid digital advertising campaigns and content calendars in collaboration with the Chief Communications and Marketing Officer, Director of Communications, Marketing team, and external agency partners.
- Monitor website, email, social media, and paid campaign analytics; prepare regular performance reports and recommend opportunities to improve audience engagement and campaign effectiveness.
- Maintain marketing assets and digital content libraries, including organizing files, selecting imagery, and writing accessible alt text.
- Upload ICA exhibitions, programs, and events to community calendars and third-party platforms to support institutional visibility and audience development.
- Support marketing and communications initiatives for special events, including First Fridays, press previews, and other institutional programs through content creation, promotional support, planning, and on-site assistance.
- Process departmental invoices and credit card reconciliations, maintain budget tracking documentation, and provide general administrative support for the Marketing and Communications department.
- Stay current on digital marketing, social media, and museum industry trends, identifying opportunities to strengthen audience engagement and improve marketing performance.
- Perform other duties reasonably related to the responsibilities described above.
- Occasional work on weekends and evenings for department initiatives.
Qualifications:
- 1+ year of relevant professional experience; experience in an arts, cultural, or nonprofit organization is a plus.
- Strong writing, editing, and proofreading skills with the ability to create engaging, audience-focused content while maintaining a consistent brand voice.
- Ability to develop creative digital content, including photography, graphics, and short-form video for multiple online platforms.
- Strong organizational and project management skills with the ability to manage multiple priorities, deadlines, editorial calendars, and cross-functional projects simultaneously.
- Strong creative instincts with an understanding of visual culture, digital trends, and platform-specific storytelling.
- Exceptionally organized, detail-oriented, and proactive, with the ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Familiarity with CRM and audience management systems, including Tessitura or comparable platforms, is preferred.
- Experience using content management systems (CMS) to maintain websites, ensuring content is accurate, accessible, and optimized for user engagement, is preferred.
- Must be able to exchange accurate information with departments, and with diverse and multigenerational audiences.
- Experience creating and managing email marketing campaigns using platforms such as Wordfly, Mailchimp, Constant Contact, or similar email marketing software is preferred.
- Proficiency in Microsoft Office Suite, Google Workspace, Adobe Creative Cloud (Photoshop, Illustrator, Premiere Pro, or InDesign), Canva, and digital collaboration tools is desirable.
Physical Requirements:
- Prolonged periods of remaining stationary working on a computer, or standing during events, photo/video shoots, and media coverage.
- Ability to move about in the office to access files, printers, etc., and in the gallery spaces to work with media outlets.
- Ability to lift up to 15 pounds, pushing and pulling, keyboarding and gripping
- Ability to see, listen and talk for extended periods in person, over the telephone and computer, and understand printed materials
- Travel to Watershed via water taxi requires traveling down a dock ramp and transferring to the boat (boarding boat requires stepping over/on and three steps down).

Salary Range: $48,000 – $50,000 annually
The wage range for this role accounts for a variety of factors used to make compensation decisions including but not limited to skill sets, experience and professional training, and to the organization’s internal compensation structure. It is typical for a new hire to enter their role at the lower end of the stated range based on meeting the minimum qualifications of the position. At the ICA, compensation decisions are dependent on facts and circumstances of each case.
